These Booking Terms and Conditions are entered into between Britannia Travel Minibus Hire Ltd (“we”, “us”, “our”) and the Customer (“you” and “your”), being the person making the booking. “Event” means the occasion, activity, journey, or party in respect of which we are providing collection, transportation, and drop-off services.

These Booking Terms and Conditions apply to all bookings made with Britannia Travel Minibus Hire Ltd whether arranged by telephone, email, website, or otherwise. You must accept these terms at or before booking, and you are deemed to accept them upon confirmation of the booking, acceptance of the quote, and/or payment of the deposit.

We require payment of a deposit equal to 20% of the total booking price. The balance of the price must be paid in full at least two (2) weeks before the Event.

If you do not make these payments on time, we reserve the right to cancel the booking and retain the deposit.

All payments must be made by bank transfer to the bank account detailed on your official invoice.

We understand that there may be circumstances requiring changes to a booking. Where you are quoted a price per person, this is calculated on the number of passengers travelling. If you reduce the number of passengers, the price per person will increase so that the same total agreed amount remains due and payable to us.

Please note that all bookings are strictly non-transferable.

If cancellation is communicated in writing less than two (2) weeks prior to the Event, you shall remain fully liable for payment of the full booking price (100%).

We will use reasonable endeavours to provide the advertised vehicle; however, it may be necessary to use a different vehicle or provide one or more smaller vehicles. We will ensure that any replacement vehicle(s) shall be sufficient for the purposes of fulfilling the booking and shall be of a standard comparable to that of the advertised vehicle (for example: if you hire a 14-seater, we reserve the right to dispatch two 8-seater vehicles or 4 saloon vehicles).

If necessary, we may subcontract the provision of the booking to a third party. In such cases, these terms shall apply in addition to any statutory or contractual terms imposed by the third-party operator, which will be provided to you prior to the Event.

If you have a complaint or criticism about any aspect of your booking, please provide full details in writing to info@britanniatravelminibushire.co.uk within 24 hours of the Event. We will promptly investigate all reasonable complaints and provide you with feedback.

In providing the Service we will:

• (i) Use the most appropriate route decided by taking into account vehicle type, timing, and traffic reports. Preferred custom routes must be confirmed at the time of booking and may incur additional charges.
• (ii) Subject to conditions beyond our control (such as traffic and weather), aim to arrive at the chosen collection point and depart/arrive at agreed times.
• (iii) Ensure all confirmed collections, drop-offs, and detours (“stops”) are included. Any unconfirmed or additional stops requested on the day will only be accepted at the driver’s discretion upon payment of an additional minimum charge of £20.00 base fee plus £3.00 per mile for each unconfirmed stop.
• (iv) Provide a professional service to ensure your Event proceeds smoothly.

You must provide clear and accurate Event details including postcodes, street names, and collection times. You must inform us promptly if there is a reduction in party size. We will not permit more passengers than the confirmed booked number unless agreed in writing (which may incur additional costs). You must notify us as soon as possible of any delays or circumstances affecting agreed collection times.

Unless expressly agreed at booking, no personal possessions shall be left unattended on the vehicle between journeys.

Any departure delays caused by you or your party will be charged at an additional fee of £30.00 for each 15 minutes of delay from the agreed departure times.

You agree to comply with all reasonable requests imposed by us or your driver. You agree not to bring animals on any vehicle (except guide dogs), not to smoke/vape on or around the vehicle, not to consume food or beverages without permission, and not to cause any damage. You agree to act sensibly and courteously at all times without posing risks to the party, the driver, or the public.

Zero Tolerance: If any passengers are rude, abusive, or anti-social to the driver, the driver reserves the right to refuse boarding or terminate the return journey without any refund eligibility.

You will reimburse us for any breach of clause 13 including damage to any vehicle. In the event of damage (such as vomiting, tearing seat covers, applying stickers, cutting or smashing glass), you will pay the full repair or cleaning costs.

You agree to indemnify us for any claims, losses, damages, or other liabilities brought against Britannia Travel Minibus Hire Ltd or its driver by any third party for any reason caused partly or predominately by the acts or omissions of you or any member of your party, whether in breach of these terms or not.

We are not liable for any loss, costs, claims, or damages suffered by you or your party as a result of:

• (a) Any acts or omissions by the customer/party;
• (b) Any failure by the party to comply with these terms;
• (c) Delays caused beyond our control (including traffic, weather, breakdowns, road closures);
• (d) Any failure to attend an event due to delays;
• (e) Any accident (unless caused entirely by our negligence).

We do not accept liability for personal possessions carried or left on the vehicle; items left behind will be disposed of. Any claim for loss, damage, or costs shall be strictly limited to the price paid less the deposit.

We shall not be liable for any indirect, special, incidental, or consequential damages of any kind (including damages and lost profits), regardless of the form of action, whether in contract, tort (including negligence), strict liability, or otherwise, even if informed of the possibility of such damages in advance.

We reserve the right to change any of these terms so far as reasonable upon notification. These terms do not affect your statutory rights. This contract and service provision are governed by the laws of England and Wales, and you agree to submit to the exclusive jurisdiction of the English courts.

We may revise these terms of use at any time by amending this page. Please check periodically. We may update and change the content on our site at any time, but note that content may be out of date at any given time without obligation to update it.
